When I look at employer posts that are recruiting for a staff bookkeeper, most of the job descriptions listed make me cringe and fear for the company. When positions list that the responsibilities will include, processing all payroll and payroll tax returns, filing out sales tax returns, processing accounts payable checks and reconciling the bank statements and recording customer payments, and also must work independently - 𝐢𝐭 𝐭𝐞𝐥𝐥𝐬 𝐦𝐞 𝐭𝐡𝐚𝐭 𝐭𝐡𝐞 𝐜𝐨𝐦𝐩𝐚𝐧𝐲 𝐡𝐚𝐬 𝐚𝐧 80% 𝐜𝐡𝐚𝐧𝐜𝐞 𝐨𝐟 𝐛𝐞𝐢𝐧𝐠 𝐝𝐞𝐟𝐫𝐚𝐮𝐝𝐞𝐝. These situations involve management leaving the finances and running the operations to someone else and hoping the employee will be ethical and do right by the company. I’ve seen businesses that have bookkeepers that are great at paperwork but don’t have a clear close process for month-end financial reconciliation. A common problem is not capturing expenses recorded as a liability or an accrued expense because the month-end close process occurs very shortly after the end of the month. Most companies have an accrual-based accounting system which means they record revenues when earned and expenses when incurred. Not capturing these costs have an impact on the financial statements and cash expectations to cover bills for the following month. While the roles overlap, businesses often start with a bookkeeper and as the business grows the owners hope that the bookkeeper can grow with the increasing responsibilities. Often times that’s not the case but business owners will not implement a change. There’s no one size fits all approach but business owners need to understand that bookkeepers are the ones responsible for keeping the data while accountants are the ones responsible for analyzing the data.
